TO:               DCS Families
FROM:          Bill Conlon
DCS Interim Director
RE:               Assistance requested

Taking attendance twice a week is burdensome for both families and DCS staff.  However, attendance reporting is mandated by state law for every Oregon public and charter school.  Our Charter Agreement with Dallas Public Schools also requires us to submit attendance reports from all of our homeschool families. I am writing to ask your help in keeping Dallas Community School in good standing.

Attendance

Parents– we need your help and cooperation. Attendance must be reported twice a week, on Wednesdays and Fridays.  Guides will send you an email by 8:00 AM on reporting days to remind you to complete the attendance form and return it by noon that same day.  I know this can be inconvenient and even annoying, but it is essential for DCS to comply with these mandates.

If a family does not submit their attendance, the days are counted as an absence.  Once DCS sends the school’s attendance to DSD, it can not be changed, so late attendance reports are not usable.  Students who have ten consecutive absences are by law dropped from the school’s enrollment list.  As you can see, it is very important for both families and DCS staff to work together to report all attendance on time. Guides will be working with you to get your attendance in twice a week by the deadline.

PE Logs

PE Logs are another requirement mandated both in state law and by our Charter Agreement. Students in grades K-5 are required to log 150 minutes a week and students in grades 6-8 must log 225 minutes each week. Your Guide can provide you with a form that makes tracking these activities easier.  Please record each student’s minutes at the bottom of the Attendance Tracker form no later than the 5th of each month for the prior month.  Guides will send you an email reminder at the end of each month to submit your minutes by the 5th of each month.

Again I understand that submitting attendance twice a week and PE once a month can be arduous but it is essential for our continued approval to operate this charter school.  If you have questions or wish to discuss these requirements please do not hesitate to call or stop in and see me at the school.

Thank you in advance for your understanding and cooperation with these important obligations.
