Dallas Community School (DCS) is a public charter school located in Dallas, Oregon. Organized and operated by a grassroots nonprofit called Community Innovation Partners, Dallas Community School provides personalized learning opportunities for students in grades K‐8. Our approach emphasizes community‐based learning, where parents and community partners play a primary role in education and licensed teachers serve as skilled mentors and guides. We emphasize democratic learning, problem‐based learning, and a variety of other innovative approaches that meet the unique needs of our students. While we are truly a “school without walls” DCS will also offer optional enrichment classes at our site in Dallas that will build upon students’ unique skills and interests. ABOUT THIS OPPORTUNITY:

Dallas Community School is accepting applications for a full-time Registrar. Benefits include paid holidays, sick and personal leave, school paid PERS retirement plan, some flexibility in work hours, health and dental insurance.

  1. This position is responsible for maintaining student records. 
  2. Handles daily work pressures and requires constant concentration to a volume of work which must be completed within a limited period of time. 
  3. Follows and maintains knowledge of school policies and procedures. 
  4. Maintains accurate student records including sending and retrieving files, ensuring transcripts, grades, etc. are updated; and updating student databases as required. 
  5. Fulfills requests for student records by phone and written correspondence. 
  6. Works with other staff to ensure all attendance and grades are entered, inputs changes as required, and runs all attendance and school reports as needed. 
  7. Assists parents and students in enrollment and withdrawal processes and procedures.
  8. Assists the director with charter lottery including maintaining an accurate waiting list, including administration of family orientation events throughout the year. 
  9. Maintains accurate immunization records, including dates, parent notification, providing school nurse reports, and preparing data for state reports. 
  10. Performs general office duties including answering phones, greeting the public, ordering supplies, typing, filing, sorting and handling incoming and outgoing mail. 
  11. Ensures appropriate postage and supplies are ordered for records,grades, and registration. 
  12. Provide administrative support to the school director including scheduling meetings, preparing materials and drafting correspondence. 
  13. Provides administrative support for planning and organizing recognition ceremonies and other school events. 
  14. Appropriately maintains and secures confidential records and inquiries. 
  15. Completes computer data entry work, using district computer programs, to input a high volume of data with speed and accuracy ,including confidential data, in an environment with frequent interruptions. 
  16. Demonstrates proficiency in use of Student Information Systems. 
  17. Interacts thoughtfully and courteously with students,staff and parents and resolves conflict in a professional manner. 
  18. Professionally represents the school in interactions with parents, community, staff, and students. 
  19. Maintains appropriate certifications and training hours as required. 
  20. Complies with applicable district, state, local and federal laws, rules and regulations. 
  21. Attends work regularly and is punctual.

Additional responsibilities include: 

  1. Creates and maintains course catalog and master class schedule, schedules students and balances class loads with educational guides.
  2. Maintains log of security rights and passwords for students including G-Suite, Edgenuity and Renaissance licenses for students and staff. 
  3. Runs a variety of reports for staff when requested. 
  4. Provides support to all staff for SIS issues. 
  5. Is able to resolve the majority of questions without the need for additional support.
  6. Assists front office staff when needed. This includes assisting with medications and coverage for lunches and vacancies when a substitute cannot be obtained. 
  7. Assists Director in entering suspension reports into SIS including preparation of expulsion packets when needed. 
  8. Provides administrative support for coordinating student and parent surveys, including NAEP and health surveys. 
  9. Provides administrative support for Oregon Statewide Assessments. 
  10. Assists Office Manager in maintaining student body fees. This includes adding, adjusting and correcting fees in SIS, and balancing student allotment funds. 

Qualifications:

Associate’s degree or equivalent from two-year college or technical school and two years’ related experience and/or training or equivalent combination of education and experience is preferred. 
Prior successful experience working in a school office setting or with student records preferred.
